Overdue Notices

What are auto-notices?

  • Auto-notices are system-generated overdue notices that are “printed” to your Outlook email address every Monday, Wednesday and Friday. The subject heading is FTS MAIL and the sender is "ftsmail@lion.dpsk12.org".

What are the advantages of auto-notices?

  • The chief advantage is that you are no longer responsible for making sure that notices escalate through the different levels, and can focus instead on how you can use the notices to keep books in general circulation.

Do I have to print the FTS MAIL messages?

  • No. What you do with the FTS MAIL message is up to you.

I do not receive FTS MAIL every Monday, Wednesday and Friday. Is something wrong?

  • No, this is normal. If there are no overdue (or billed) items for your location, no auto-notices will print to your Outlook email.

How do I format the FTS MAIL message for printing so notices don’t run together?

  • There are instructions on how to format the FTS MAIL message for printing in the Library Manual (search words: notices).

I use the Overdues Report in Via. Do I have to use auto-notices, too?

  • No. If letting borrowers know about their overdue items on a classroom basis works best for you, then stick with the Overdues Report.

How often should I distribute auto-notices?

  • To provide a timely reminder, auto-notices should be distributed as close to the actual overdue, very overdue and billed date as possible. These dates are based on system loan rules as follows:
    • 1st Level notice (overdue) is generated 5 days after the due date on the item. This is the only time the system looks at the due date for notice printing.
    • 2nd Level notice (very overdue) is generated 10 days after the 1st Level notice has been printed for the item.
    • 3rd Level notice(replacement bill) is generated 10 days after the 2nd Level notice has been printed for the item. This will be the replacement bill for the item, and it will only print once.
  • As a general rule of thumb, if you cannot compile and distribute auto-notices once per week, you should distribute the bills and/or the Overdues Report.
